We are Cambridge Centre Japan Ltd. At Cambridge Centre Japan, we provide a range of services for English language learners and teachers, including English language proficiency examinations, teacher training examinations, preparation courses, and general English classes. We also act as an agent for study abroad programmes and teacher training programmes.
Please read these Terms and Conditions carefully.
It is important that all Candidates, Parents/Guardians, Students, and Participants read and understand these Terms and Conditions in full. By submitting an application or registering for any examination, course, or programme, you confirm that you have read, understood, and accepted these Terms and Conditions.

Applicant: The person who submits the application for an examination or course. This may be the candidate themselves (if aged 18 or over) or a parent/guardian acting on behalf of a candidate under 18.
Student: An individual enrolled in English language lessons, examination preparation courses, or teacher training courses delivered by the Centre.
Parent/Guardian: A person with legal responsibility for a candidate or student who is under the age of 18.
Under 18 Candidate: A candidate who is under the age of 18 at the time of examination registration and/or on the examination date.
Candidate: Any individual who has registered for, or is in the process of registering for, a Cambridge English examination through the Centre.
Cambridge Centre Ichigaya: The name used for the Centre’s physical teaching location in Ichigaya, Tokyo, where general English lessons, examination preparation courses, and teacher training programmes are delivered.
West Japan Cambridge Centre JP176: The authorised Cambridge English examination centre name under which our Cambridge English Qualifications are administered. This name is used for all of our official examination operations across Japan.
Cambridge Centre Ltd: The registered trading name of the operating company responsible for delivering services including examinations, courses, and related educational activities.
Cambridge English: Refers to Cambridge English Language Assessment, part of Cambridge University Press & Assessment, and the awarding body responsible for Cambridge English Qualifications and Cambridge Teaching Qualifications, regulations, policies, and examination administration.
Centre / the Centre / we / our:
Refers to Cambridge Centre Japan and/or West Japan Cambridge Centre JP176, including its staff, representatives, authorised examination personnel, teachers, contractors, and approved service providers where applicable.
Registration Form
Candidates must register for exams using our online registration form.
Applications must be submitted by 15:00 on the published closing date. Applications received after this deadline may not be accepted.
After submission of the application form, our administrative team will contact candidates by email to confirm receipt of the application and provide payment instructions.
Registration is only considered complete once the full examination fee has been received.
Minimum and Maximum Candidate Numbers
Examination sessions may be cancelled if the minimum required number of candidates is not reached. The Centre may also close registration once venue or session capacity has been reached. Candidates are encouraged to apply early to allow sufficient time for communication regarding the status and arrangements of the examination session.
Test Venue Locations
The Centre organises examination sessions in various regions across Japan, including Tohoku, Kanto, Kansai, Chugoku, Shikoku, and Kyushu. Additional examination sessions may also be organised in other regions or cities subject to demand, venue availability, staffing, and operational approval.
Contact Information
Applicants are responsible for ensuring that all information submitted during registration is accurate and complete, including candidate details, contact information, and emergency contact information where required.
Applicants must inform the Centre as soon as possible of any changes to contact details or emergency contact information prior to the examination date.
Where certificates or other documents are returned to the Centre due to incorrect, incomplete, outdated, or undeliverable address information provided by the candidate or applicant, any additional postage, handling, redelivery, or administrative costs may be charged to the candidate or applicant before resending.
The Centre accepts no responsibility for delays, non-delivery, or additional costs arising from inaccurate or outdated contact information provided during registration.
Test day information, including the Confirmation of Entry and examination timetable, will normally be sent by email at least one week before the examination date.
We may be unable to respond outside office hours, during evenings, or on weekends and public holidays. Depending on the timing of your enquiry, responses may take several days.
Emails may include attachments and could be filtered as spam or junk mail. If you do not receive a response, please check your spam folder and email settings.
2.3 CANDIDATE ELIGIBILITY
Cambridge English Qualifications for Schools (A2 Key for Schools, B1 Preliminary for Schools, and B2 First for Schools) are designed primarily for school-age learners. While the examination format, level, and certification are equivalent to the standard versions, the topics and content are intended for younger candidates.
The wording “For Schools” does not appear on the certificate.
Applications from adult candidates may not be accepted except in approved circumstances. Adult candidates are encouraged to apply for the standard versions of these examinations where available.
2.4 EXAM DAY REQUIREMENTS
Photo Identification
Excluding Cambridge English Young Learners examinations (Pre A1 Starters, A1 Movers, and A2 Flyers), candidates must bring original, government-issued photo identification to the examination session. Where possible, we may request a copy of the candidate’s identification in advance.
Failure to bring valid and original photo identification on the examination day, or presenting identification that is invalid, expired, damaged, or unacceptable, may result in refusal of entry to the examination. Candidates will not be eligible for a refund in such cases.
Stationery Requirements
Exam candidates are responsible for bringing the required stationery to complete their examination(s). This may include pencils, pens, erasers, and any other items indicated, where possible, on the Confirmation of Entry and/or supporting information provided to candidates. Young Learner Exam candidates are also required to bring coloured pencils (ten designated colours: black, blue, brown, green, grey, orange, pink, purple, red, yellow).
Examinations requiring pencil must be completed using 2B or HB pencils. Examinations requiring pen must be completed using black or blue ballpoint pens only. Friction pens and erasable pens are strictly prohibited. It is the candidate’s responsibility to ensure that the correct stationery is used throughout the examination. While invigilators may attempt to identify unsuitable stationery during the examination, responsibility ultimately remains with the candidate.
Answer Transfer Responsibility
If a candidate fails to transfer their answers within the allocated time (for example, from the question paper to the answer sheet), they shall not be eligible for a refund. Candidates are reminded during the examination to transfer all answers to the answer sheet where required. Any special consideration after the examination is subject to the discretion of Cambridge English.
Test Day Photos
A test day photo is mandatory for B2 First, C1 Advanced, and C2 Proficiency examinations. The candidate’s photograph will be uploaded to the Cambridge English Verification Service. The photograph will only be accessible to organisations or individuals to whom the candidate has provided their details or authorised access to their examination results.
Late Arrivals
Candidates are expected to arrive at the examination venue at least 30 minutes prior to the scheduled start time of their first examination component, unless otherwise instructed by the Centre.
Candidates who arrive late may be refused entry to the examination. Late entry is granted only in exceptional circumstances and at the discretion of the Centre and/or invigilating staff, in accordance with Cambridge English regulations.
Candidates who are refused entry due to late arrival shall not be eligible for a refund, transfer, or special consideration.
2.5 ACCESS ARRANGEMENTS
Candidates who require access arrangements (for example, additional time, modified papers, or other approved adjustments) must notify the Centre at the time of registration. Requests made after registration may not be accommodated.
Supporting documentation may be required in order to assess eligibility for access arrangements.
All access arrangements are subject to approval by the Centre and Cambridge English. Arrangements cannot be guaranteed if sufficient notice is not provided.

2.6 EXAM CANDIDATE CODE OF CONDUCT
Candidates are expected to conduct themselves in a respectful and appropriate manner at all times during the examination process, including arrival at the venue, conduct during the examination, and departure from the examination room.
Candidates must follow all instructions given by invigilators and examination staff. Any form of disruptive behaviour, communication with other candidates, or suspected malpractice may result in disqualification and/or reporting to Cambridge English.
Candidates must not bring unauthorised materials or devices into the examination room. All examination regulations must be strictly observed to ensure fairness for all candidates.
Under 18 candidates may not leave the examination venue during scheduled examination times without permission from the Centre and/or their Parent/Guardian, except in emergencies or where otherwise authorised by examination staff.
2.7 SPECIAL CONSIDERATION
Special consideration may be applied for where a candidate is adversely affected by circumstances beyond their control, such as illness, injury, or other significant disruption on or around the time of the examination.
Requests for special consideration must be submitted to the Centre as soon as possible after the examination, along with appropriate supporting evidence where required.
All applications for special consideration are reviewed in accordance with Cambridge English guidelines and are granted at the discretion of Cambridge English and/or the Centre. Special consideration does not guarantee a change to results or outcomes.
2.8 PAYMENTS
Examination registrations will not be processed until payment has been received in full.
If payment is not received by the specified payment deadline, the application will be automatically cancelled.
Late entries may be accepted subject to availability and administrative approval. A late entry fee of ¥5,500 (tax included) will apply.
2.9 REFUNDS (WITHDRAWALS, CANCELLATIONS)
Cancellation/Withdrawal
Candidates who submit a written cancellation request before the registration closing date may receive a refund of the examination fee.
A cancellation fee of ¥5,500 (tax included) will be deducted from the refund amount. For Cambridge English Young Learners examinations (Pre A1 Starters, A1 Movers, and A2 Flyers), the cancellation fee shall be equal to 50% of the examination fee.
Transfers
Transfers to another examination session or venue may only be accepted if registration for the requested session remains open and seats are available.
One transfer may be made free of charge. Any additional transfers after the first approved transfer will incur a transfer fee of ¥5,500 (tax included) per change.
Refunds
Refunds cannot normally be provided for cancellations made after the registration closing date.
In cases involving medical emergencies or other exceptional circumstances, candidates may be required to submit original supporting documentation.
Refunds in exceptional cases are granted solely at the discretion of our Centre and Cambridge English.
2.10 RESULTS
Results Release
Results are generally released:
Candidates can access results online using the Cambridge Results Portal. Login details, including the Candidate ID and Secret Number, are provided on the Confirmation of Entry.
Certificates
Certificates are issued by Cambridge English for candidates who achieve the required standard in the examination.
Certificates are normally dispatched to the centre after results are released. Certificates will then be dispatched by the centre to the candidate’s registered postal address, or to the registered Preparation Centre where applicable.
The Centre is not responsible for delays, failed delivery, or additional costs arising from incorrect or outdated postal information provided by the candidate or Preparation Centre. Additional postage, handling, or redelivery charges may apply where certificates are returned undelivered and require resending.
Certificate Amendments and Name Changes
Requests for name changes on certificates must be made in writing.
Lost or Damaged Certificates
Candidates must contact the centre in writing if a certificate is lost or damaged.
Replacement certificates may only be available within the time limits set by Cambridge English. Fees may apply.
Results Enquiries
Candidates who wish to enquire about their results must contact the centre in writing within 14 days of the release of their result.
The following Results Enquiry services are available:
Stage 1: Clerical re-check of examination results.
Stage 2: Re-mark of written papers (available only after completion of Stage 1 and not available for certain exams).
Fees apply for all Results Enquiries. Fees will only be refunded if the final grade changes.
Appeals
Candidates who are not satisfied with the outcome of a Results Enquiry may submit a formal appeal in accordance with Cambridge English regulations.
Appeals must be submitted in writing within 14 days of the relevant decision and are subject to applicable fees. Appeal fees are refundable only if the appeal is upheld.
The Centre shall not be held responsible for delays, cancellations, changes, interruptions, or failure to provide services due to circumstances beyond its reasonable control, including but not limited to natural disasters, severe weather, public health emergencies, transportation disruptions, government actions, labour disputes, technical failures, power outages, venue closures, or other force majeure events.
This policy applies to all services provided by the Centre, including but not limited to examinations, courses, classes, teacher training programmes, events, consultations, and study abroad-related services.
In such circumstances, the Centre reserves the right to reschedule examinations, classes, courses, events, or other services, change venues or delivery methods, or provide alternative arrangements where reasonably possible.
Refunds, transfers, credits, or alternative arrangements in force majeure situations will be considered in accordance with Cambridge regulations, partner institution policies, and the Centre’s own policies, where applicable.
Cambridge Centre Japan shall not be held liable for loss, theft, damage, or injury to persons or personal property while attending examinations, classes, courses, events, teacher training programmes, or other activities organised by the Centre, except where liability cannot be excluded by law.
Candidates, students, participants, and visitors are responsible for the safety and security of their personal belongings at all times.
For examination sessions, the Centre will normally provide a designated area for candidates to store personal belongings in accordance with Cambridge regulations. However, all items are left at the owner’s risk, and the Centre accepts no responsibility for belongings that are lost, stolen, damaged, or left unattended.
This includes, but is not limited to, bags, electronic devices, personal documents, examination materials, certificates, and items delivered or brought to Centre premises or event venues.
Candidates, students, participants, or parents/guardians may be held responsible for the cost of repairing or replacing any property, equipment, facilities, or materials damaged intentionally, negligently, or through inappropriate conduct.
We may take photographs or video footage of participants during classes, examinations, courses, events, or other activities organised by the Centre. We may also collect written, audio, or video testimonials for promotional and educational purposes.
Participants who do not wish to appear in photographs, videos, or testimonials should inform the Centre at the time of application or registration where possible.
Participants will normally be informed when photographs or video recordings are being taken and may choose not to participate.
Students or participants who are invited to provide testimonials, or to participate in individual or small-group photography or video recordings, will be informed of the intended use and asked to provide consent at the time.
The Centre processes and manages personal information in accordance with applicable laws and regulations.
Personal information collected by the Centre may be used for the administration of examinations, issuance of results and certificates, course administration, responding to enquiries, emergency contact purposes, providing information about related services and events, internal analysis and statistical purposes, and other purposes reasonably necessary for the operation of the Centre.
Personal information may be shared with Cambridge English and relevant partner organisations where necessary for examination administration and related services.

These Terms and Conditions supersede any previous versions or agreements that may have applied at the time of application, registration, booking, or payment.
By submitting an application, registering for a service, or making any payment to the Centre, Candidates, Students, Participants, Applicants, and/or Parents/Guardians confirm that they have read, understood, and agreed to these Terms and Conditions.
These Terms and Conditions apply to all services provided by Cambridge Centre Japan, including but not limited to examinations, courses, classes, teacher training programmes, events, consultations, and study abroad-related services.
The Centre reserves the right to amend, update, or revise these Terms and Conditions at any time without prior notice. The most current version published by the Centre shall apply.
